Forest Forward is a nonprofit 501(c)3 organization that partners with the community to drive equitable development, economic mobility, and improve outcomes for children, residents, and families of the South Dallas community.
Forest Forward was launched in 2020, and over the past year has experienced a wonderful period of growth and impact. To continue on this trajectory, we’re searching for a highly qualified Senior C-Level Executive Assistant to work closely with our President and CEO, executive team and board of directors. From day one, the Senior C-Level Executive Assistant will have an immediate impact on our daily operations and will be an ambassador within and outside of Forest Forward.
The ideal candidate will have at least five (5) years of administration experience, and a demonstrated proven track record of attention to detail, organization, efficiency, and discretion. This person will also be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented.
Responsibilities:
- Ability to communicate Forest Forward’s institutional history, programs, mission, and vision.
- Perform a broad variety of administrative tasks for the President & CEO including managing an extremely active calendar of appointments, completing expense reports, composing and preparing correspondence that is sometimes confidential, arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for meetings.
- Work closely and effectively with the CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
- Prepare the CEO, and proactively make needed arrangements in anticipation of what is required for meetings, media events, and engagements to ensure she is ready to deliver the best potential outcome for Forest Forward.
- Prepare agendas, track, and follow up on administrative action items, take meeting minutes and catalogue and publish documents per best practices.
- Plan, coordinate, and ensure the CEO’s schedule is followed and respected.
- Communicate directly, and on behalf of the President and CEO, with Board members, donors, Forest Forward staff, and others, on matters related to CEO’s programmatic initiatives.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
- Serve as a diplomatic bridge for smooth communication between the President’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Act as a “barometer,” having a sense for the issues taking place in the environment and keeping the President updated.
- Provide leadership to build relationships crucial to the success of the organization and manage a variety of special projects for the President, some of which may have organizational impact.
- Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company.
- Prioritize conflicting needs, handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
- Make appointments for executive staff with Forest Forward officers and other prospects as needed and arrange onsite tours for supporters.
- Assist with other fundraising projects as requested including fundraising events.
- Serve as the point person in administrative ordering, ensuring office supplies, promotional collateral and ad hoc purchases are available when needed.
- Utilize the existing data management systems ensuring Knowledge Management for the organization is maintained through everyday best practices.

- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
- Expert level written and verbal communication skills.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability emotional maturity.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.

Skills and Qualifications:
- Bachelor’s degree or related experience.
- 5+ years of administration experience.
- Experience with Network for Good or a similar donor database system.
- Proficient with MS Office: Word, Excel, and PowerPoint
- Proficient with Dropbox.
Additional Information
This position will require evening and weekend work 20% of the calendar year, in conjunction with major performances and other special events. As we aim to balance the benefits of in-office collaboration with the flexibility of remote work, the schedule for this position will entail working in the office from Monday- Thursday, with Fridays designated for remote work from home.
